RESPONSIBILITIES Opening and closing the office Answering and routing all incoming calls Coordinating schedules for multiple conference rooms and facilitating catering Welcoming all guests and clients Maintaining an orderly appearance of office common areas and coordinating maintenance as needed Distributing incoming and outgoing mail and faxes Providing initial support for copiers, printers, fax, and postage machine Managing office supplies inventory Managing firm phone lists Assisting with planning of special Symphony events Providing administrative support and coordinating projects as needed REQUIREMENTS Bachelors degree preferred Positive attitude, friendliness and professional appearance essential Excellent oral and written communication skills Must be reliable and responsible Meticulous attention to detail and organization skills Self-starter with the ability to work independently, manage own schedule and initiate improvement projects with limited direction Willingness to be flexible and help all departments Anticipate the needs of the firm and be proactive in resolving them Knowledge of Microsoft Office Suite including Outlook, Word, and Excel Some tasks may require the ability to sit and type for long periods of time and lift approximately 20lbs for short periods of time
