Scheduling and calendar management, as well as follow-up calls, confirmations and distribution of meeting materials
Arranging office facilities scheduling meeting rooms/audio-visual conference calls/recordings/catering as needed
Coordinating travel arrangements
Managing space and facilities for new hires
Preparing and submitting expense reports; approving expense reports
Running and preparing reports
Addressing general employee questions and inquiries
Compiling information and populating PowerPoint presentations
Ordering office supplies and equipment, and acting as a liaison for equipment maintenance issues
Maintaining organization charts and distribution lists
On-boarding new hires and off-boarding departing team members
Managing internal and external client on-site experience
Event planning and coordination as needed
Assisting the group with invoicing and billing and other duties as needed
Assisting with ad hoc projects and annual initiatives
Providing concierge service to visiting clients
Coordinating team meetings, 1:1s, client meetings (as needed)
Top three critical skillsets or technologies needed:
Skill #1: Concur - Expenses & Travel booking; Outlook - calendar management, emails, maintain contacts; Microsoft Office Suite - Word, Powerpoint, Excel
Skill #2: Time management, prioritization and multi-tasking abilities; ability to meet deadlines
Skill #3: Clear/strong communication skills - verbal and written
